Microsoft has rolled out Copilot Memory for Microsoft 365. Copilot now actively retrieves context from your emails, calendar and files, and remembers your preferences between sessions. What does this deliver, and what does it mean for your employees' privacy?

Microsoft has rolled out Enhanced Copilot Memory for Microsoft 365. Copilot now actively retrieves information via Microsoft Graph — the layer that provides access to your emails, calendar, meetings, files and other Microsoft 365 data. At the same time, Copilot remembers your preferences and working style between sessions, so answers become more relevant the longer you use the system.

What changes in practice?

Until recently, Copilot treated every session as a clean slate. You had to provide context every time: 'This is the project I am working on, these are the people involved, this is the tone I use.' That is now in the past. Copilot is building a working model of who you are, what your priorities are and how you communicate.

In practical terms, Copilot in Teams meetings can automatically retrieve the relevant participants, project files and previous decisions. In Outlook, it can partly prepare an email based on earlier correspondence with the same recipient. In Word, it can match text style and tone to documents you have written before.

GDPR and privacy considerations

Copilot Memory processes employee personal data, even when it comes to business communications. That means your organisation needs a lawful basis for processing, must inform employees about how Copilot uses their data, and must consider data retention and access controls. Microsoft provides admin controls and user-facing transparency tools — make sure your IT policy and privacy statement cover this feature before rolling it out broadly.

Is it worth it?

For teams that already use Copilot regularly, Memory is a significant improvement. The tool becomes more useful as it gains more context, and that difference shows in the quality of generated texts, summaries and suggestions. Just make sure you handle the privacy side properly before making it available to everyone.
